This page explains how the branch handles the information you give us through this website — when you book a hut, RSVP for an event, borrow gear, donate, sign in as a member, or send us a message. We follow the New Zealand Privacy Act 2020.

What we collect
We only collect what we need to do the thing you've asked us to do.
Booking a hut — name, email, phone, country, group size and any notes. Needed to confirm your booking and to give Small Planet the right details for key collection.
RSVP for an event — name, email, dietary preferences if relevant, number coming. Used to cater and to email you if anything changes.
Borrowing gear — name, member number and the dates you want the gear. Members only.
Membership — name, contact details, branch, type of membership. Held in the branch member database; visible to other members only if you choose to make your contact details visible.
Donations — name, email and address (for receipts), amount. Payment details are handled by Stripe — we don't store your card details.
Sending us a message — whatever you tell us in the message.
We also collect basic technical information when you visit the site — your browser type, the pages you visit, and how you got here. We use this to keep the site working and to understand which pages are useful.
How we use it
To run hut bookings, RSVPs, gear lending, membership and donations.
To send the monthly newsletter to members (unsubscribe any time from the email).
To reply to your messages.
To improve the site.
We don't sell your information. We don't share it with advertisers. We share it with third parties only where it's needed to do the thing you've asked us to do — for example, Small Planet needs to know whose booking is whose to hand over the right key.
Who we share information with
Small Planet (15–17 Shotover Street, Queenstown) — for hut key collection and payment.
Stripe — for donations and any online payment processing.
NZDA National Office (deerstalkers.org.nz) — for your membership record, which is shared between the branch and the national body.
No-one else without your permission, unless we're legally required to.
Cookies
The site uses functional cookies to keep you signed in and to remember things across pages. We use basic, privacy-respecting analytics to see which pages are visited — we don't track individuals.
How long we keep it
Booking records — kept for seven years for tax and audit purposes.
Member records — kept while you're a member and for two years after you leave, then anonymised.
Donation records — kept for seven years for tax and audit purposes.
Event RSVPs — deleted three months after the event.
Messages to us — kept while we work on your enquiry, then deleted within a year.
Your rights
You can ask to see, correct or delete the information we hold about you. Email info@southernlakesnzda.org.nz and we'll get back to you within a few days. If you're not happy with our response, you can complain to the Office of the Privacy Commissioner — privacy.org.nz.
Changes to this page
If we change how we handle information, we'll update this page and date the change.
